Introduction

The Challenge: Managing an Invite-Only Audience at Scale

FFCC events are curated by design. Attendance is not open to the public, and every participant is carefully selected to maintain the quality of networking and discussions inside the venue.

For Dubai 2025, the organizing team required a registration system that could support:

  • Invite-based registrations rather than open sign-ups
  • Organizer approval for every attendee before confirmation
  • Controlled QR code distribution only after approval

  • Accurate attendance tracking for post-event reporting

Pre-Event Communication and QR Code Distribution

To reduce on-site queries and speed up entry, TicketRoot automated all attendee communication. Approved attendees received their QR codes:

  • Immediately after approval
  • One day before the event
  • Again on the morning of the event

QR codes were shared via email and WhatsApp to ensure accessibility for all attendees.

This approach helped maintain order during peak arrival times and ensured that most attendees arrived prepared for check-in.

DTCM-Compliant Ticketing for Dubai Events 

As part of the event approval process in the UAE, FFCC required compliance with the Dubai Department of Economy and Tourism (DET).

TicketRoot enabled the upload of official DTCM codes into the platform. Each approved attendee was assigned an individual DTCM code, which was embedded into their ticket and badge data.

This ensured:

Event Day Operations and Check-In Execution (During the Event)

QR-Based Check-In and Badge Printing

Inside the venue, exhibitors were given access to TicketRoot’s Lead Capture Solution, allowing them to scan attendee badges and collect contact details digitally.
