TicketRoot provides a comprehensive event management platform, including ticketing, attendee check-in, badging and on-ground print services, and a full event app with personalized agendas, networking tools, and lead scanning features. We value your privacy and are committed to protecting your personal information. This Privacy Policy outlines how we collect, use, store, and protect your data when you use our services. We collect personal data necessary to provide event services, depending on the nature of the event and organizer's requirements. The types of data we collect include:
- Name, email address, phone number
- Company name and designation (if applicable)
- Profile photo (if required for event check-in, badging, or photo distribution services)
- Lead scanning details (for networking and exhibitor features)
- Personalized agenda selections and session preferences
- Any additional information requested by event organizers
- IMEI number (only for event organizers using the admin app for security purposes)

3. Purpose of Data Collection

We use collected data to:
- Facilitate event registration, ticketing, check-in, and badging
- Enable secure access control and personalized event experiences
- Provide agenda customization and networking tools within the event app
- Enable lead scanning and exchange between attendees and exhibitors
- Provide customer support and troubleshooting
- Generate event analytics and insights for organizers
- Improve user experience and security.

4. Payment Processing & Financial Transactions

TicketRoot does not store or process payment details directly. Payments for ticket purchases are processed securely through third-party payment gateways, such as Razorpay, which operate in compliance with applicable financial and data protection laws.

5. Data Retention & Storage

User data is stored on AWS India servers with industry-standard security measures.
- Personal data is stored on active servers for 2 weeks post-event.
- After 2 weeks, data is moved to passive storage for up to 1 year and deleted upon confirmation from the organizer.
- Sensitive data is encrypted, and we employ anonymization techniques where necessary.

6. Data Sharing & Third-Party Services

We do not share user data with third parties except in cases where:
- The event organizer has explicitly opted in for Premagic’s API services (for features like photo distribution and facial recognition check-in).
- Data sharing is required for essential analytics or fraud prevention.
- We are legally obligated to disclose data in response to law enforcement requests or legal proceedings.

7. Cookies & Tracking Technologies

TicketRoot uses minimal tracking technologies:
- IMEI tracking is used only for event organizers on the admin app to prevent unauthorized logins.
- Cookies and analytics tools may be used for performance monitoring and fraud detection.
- Users can opt out of non-essential cookies via browser settings.

8. User Rights & Data Deletion

Under applicable data protection laws, users have the following rights:
- Access & Portability: Users can request a copy of their personal data.
- Correction & Updates: Users can update or correct their personal data via account settings.
- Data Deletion: Users can delete their account via the app, leading to permanent removal of associated records.
- Organizer Data Deletion: Organizers can delete their account, which removes all event data from our systems.

9. GDPR Compliance

Although TicketRoot operates under Indian law, we comply with key General Data Protection Regulation (GDPR) principles for global users:
- Lawful data processing – We collect data only for legitimate business purposes.
- User consent – Users must opt-in to provide data required by event organizers.
- Data security – We encrypt sensitive data and ensure secure storage on AWS India servers.
- Right to Erasure – Users can request data deletion as per GDPR guidelines.

10. Governing Law & Dispute Resolution

This Privacy Policy is governed by Indian law.
Any disputes arising from this policy shall be resolved through arbitration in Mumbai, India.

11. Refund & Cancellation Policy

Ticket purchases are non-refundable unless otherwise stated by the event organizer.
- Refund requests (where applicable) must be submitted within 7 days of the event.
- If an event is canceled, refunds (if applicable) are processed directly by the organizer.
- TicketRoot follows industry-standard refund policies similar to Premagic’s framework.

12. Policy Updates & Changes

We may update this Privacy Policy from time to time. Users will be notified of significant changes via email or on our platform.
